Job Description
Responsibilities
• Oversee and manage daily administrative operations within the hospital’s outpatient and support departments.
• Maintain and update patient records, medical files, and appointment schedules in compliance with HIPAA and hospital data privacy standards.
• Coordinate with doctors, nurses, and department heads to ensure seamless patient flow and effective communication.
• Handle patient inquiries, complaints, and grievances with empathy and efficiency, ensuring timely resolution and documentation.
• Manage insurance claims, TPA (Third-Party Administrator) processes, and billing procedures, ensuring accuracy and timely reimbursements.
• Assist in preparing and monitoring departmental budgets, tracking expenses, and identifying cost-saving opportunities.
• Supervise administrative staff, including task delegation, performance tracking, and workforce planning.
• Prepare reports on administrative performance, patient service metrics, and financial summaries for management review.
• Ensure compliance with hospital policies, government regulations, and healthcare accreditation standards.
• Support the implementation of digital health systems and office automation tools to improve efficiency.
Requirements
• Bachelor’s degree in Hospital Administration, Business Administration, or a related field.
• Minimum of 2 years of experience in medical or hospital administrative roles.
• Strong understanding of medical terminology, healthcare documentation, and patient confidentiality protocols.
• Proven skills in administrative management, organizational planning, and multitasking in high-pressure environments.
• Excellent verbal and written communication skills with the ability to interact professionally with patients, staff, and external agencies.
• Proficient in MS Office Suite (Word, Excel, Outlook) and hospital management information systems (HMIS).
• Knowledge of billing systems, insurance claim processing, and TPA coordination.
• Experience in budget preparation, cost tracking, and financial reporting.
• Demonstrated ability to lead and mentor administrative staff, including performance evaluation and training.
• Ability to maintain composure, discretion, and professionalism when handling sensitive patient and financial information.
