**Job Title:** Assistant Reservations Manager

**Position Summary:**
The Assistant Reservations Manager supports the smooth and efficient operation of the reservations department at the Therapy Center. This role involves managing client bookings, supervising the reservations team, ensuring excellent customer service, and optimizing appointment schedules to maximize therapist utilization and client satisfaction.
**Key Responsibilities:**
**1\. Reservations Management:**
- Oversee daily reservation operations including appointment scheduling, cancellations, and rescheduling.
- Ensure accurate recording of client details, service preferences, and payment information in the reservation system.
- Coordinate with therapists, treatment rooms, and support staff to ensure availability and efficiency.
- Handle group bookings, special requests, and VIP clients professionally.
**2\. Team Supervision \& Training:**
- Assist in training and supervising reservations or front\-desk staff.
- Monitor team performance and provide coaching to maintain service standards.
- Prepare shift schedules and ensure adequate coverage during peak times.
**3\. Customer Service:**
- Respond promptly to inquiries via phone, email, or online platforms.
- Handle client complaints or issues courteously and escalate when necessary.
- Maintain a welcoming, empathetic, and professional communication tone with all clients.
**4\. Reporting \& Administration:**
- Maintain daily, weekly, and monthly reports on booking trends, occupancy, and revenue.
- Support in developing strategies to increase bookings and optimize therapist schedules.
- Assist with system updates, rate adjustments, and promotional offers.
**5\. Coordination:**
- Liaise with the Marketing, Finance, and Operations departments to ensure alignment on offers and client experiences.
- Coordinate with therapy staff to ensure seamless appointment flow and client satisfaction.
**Qualifications \& Skills:**
- Bachelor’s degree in Hospitality Management, Business Administration, or related field (preferred).
- Minimum **2–4 years** of experience in reservations, front office, or spa/therapy center operations.
- Proficiency in reservation software (e.g., Mindbody, Fresha, Zenoti, or similar).
- Strong communication and interpersonal skills.
- Excellent organizational, problem\-solving, and multitasking abilities.
- Customer\-oriented with a calm and empathetic demeanor.
- Ability to work flexible hours, including weekends or holidays, if required.
