Executive Assistant to Managing Director

**Job Title:** Executive Assistant to Managing Director (EA to MD)

**Key Responsibilities**

• Manage the Managing Director's calendar, appointments, meetings, and travel arrangements.
• Coordinate internal and external meetings, prepare agendas, and record Minutes of Meeting (MoM).
• Draft professional emails, letters, presentations, reports, and business correspondence.
• Maintain confidential documents, files, and business records.
• Coordinate with various departments and ensure timely follow-up on assigned tasks.
• Prepare MIS reports, presentations, and management dashboards.
• Handle incoming calls, visitors, and official correspondence.
• Organize board meetings, client meetings, and business events.
• Monitor deadlines and ensure timely execution of management directives.
• Assist in project coordination and special assignments from the Managing Director.
• Maintain digital and physical documentation efficiently.
• Liaise with vendors, consultants, government authorities, and external stakeholders whenever required.

**Required Qualifications**

• Bachelor's Degree in Business Administration, Commerce, Management, or a related field.
• MBA will be an added advantage.

**Experience**

• 2–5 years of experience as an Executive Assistant, Personal Assistant, or Executive Secretary to senior management.
• Experience in the Manufacturing, Steel, Power, or Industrial sector is preferred.

**Required Skills**

• Excellent verbal and written communication in English and Hindi.
• Strong organizational and multitasking abilities.
• Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) & AI tools.
• Advanced presentation and report preparation skills.
• Calendar and travel management.
• Meeting coordination and documentation.
• High level of discretion and confidentiality.
• Strong follow-up and coordination skills.
• Professional email drafting and business communication.
• Time management and problem-solving skills.

**Preferred Skills**

• Experience working directly with CEOs or Directors.
• Ability to work under pressure and manage multiple priorities.
